Summary
- The RTC presented the new website, which allows tenants to inform themselves, express themselves and organize themselves. The managers were surprised by our technological progress and our collective involvement, and made several positive comments about its usefulness.
- The presentation of the site took up a large part of the allotted time, which limited the time for discussion on the other points. The managers invoked the many challenges they faced as managers and asked for our indulgence.
- We explained several times that we are looking to establish better communication, planning and continuous improvement rather than instant resolution of problems, which the Minto representatives agreed with.
- We agreed on a monthly meeting at a fixed date in the middle of each month in a spirit of continuous improvement.
Issues addressed
Vandalism in the garage
During our meeting with the managers, Mr. Cao told us that one of the priorities of the MINTO administration was to ensure the safety of the tenants, while acknowledging that it was impossible to avoid all incidents.
He then informed us that parts had been ordered to repair the exterior doors of the garage. We asked him to tell us a delivery date, but he could not confirm it. He only told us that the parts were on order and that we could expect a resolution of the problem during the month of January 2024.
In addition, we reported to them that several interior doors of the garage S1 and S2 remained unlocked permanently. Mr. Cao expressed his astonishment and repeated that this should be resolved soon. Therefore, we remain vigilant and attentive to the evolution of the situation.
Sidewalks blocked by the Rockhill snowplows and snow removal of the alleys to the common areas
During our meeting with the managers, Mr. Cao told us that they were aware of this problem, that they had already checked it. He assured us that a follow-up would be done with the snow removal contractor.
Black anti-slip mats on the exterior stairs not adapted and not fixed
Mr. Cao informed us that an action had already been taken, that an order of mats of good size had been made. In the meantime, they were going to remove the mats because they were risky. We were able to see that on the same evening of our meeting, December 22, 2023, the mats had been removed from the staircase next to the entrance to the Gym, but nothing had been done for the staircase in the direction of the bus stop.
Power outage of December 5, 2023, only at Rockhill, duration 15 min
We asked if it was equipment breakdown. Mr. Cao replied that he had not received any information that the outage only affected Rockhill. He was going to check their incident reports to understand the reason for the outage with their electrician. He reminded us that their electrician was qualified and certified. He would report to us what they would find as an explanation for this power outage.
Maintenance requests
They are going to discuss it internally with the Rockhill team. Their ultimate goal was to offer the fastest possible service. They reminded us that there were uncontrollable elements. They aimed for an improvement in response time. Given the Minto computer system, we asked if they were able to extract statistics on the average time, the longest time, etc. and to follow up on these figures publicly so that we could see the progress made. This is the basis of a continuous improvement process. Mr. Contarini told us candidly that there were 300 to 400 active service calls in the system.
